Resource: Quickbooks Customers

What is a Customer?

Customers in Quickbooks represent a consumer of the service or product that your business offers. An individual customer can consist of sub-customers and jobs associated with it.

Amalgam allows you to create, update, or delete any data connected with a Customer in Quickbooks, including all of the required fields you see in the “Create Customer” screen in the Quickbooks web interface. Amalgam also allows you to view and modify additional fields that aren’t typically visible in the Quickbooks website.

Filters for Downloading Customers

When you want to download a group of customers to your worksheet, you can use the filters section (on the left side of the Resource template) to select only the customers you wish to download. These filters are cumulative (so if you make multiple selections, you will get results that fit all filters).

  • Customer: select a specific customer, sub-customer, job or project to download
  • Balance Equals: find customers by their exact balance
  • Balance Greater / Less Than or Equal To: lots of words to outline a number range of outstanding balances. For example, you could find only customers who have no open invoices by using “$0.00” as your balance or look for a balance greater than “$0.01” to find customers with open invoices

Customer Data Structure

Every row represents a specific customer. Therefore, any changes to a row will affect that respective customer. Each customer has the option to be Job and/or Project simply by selecting True in the corresponding dropdown. To create a sub-customer, set the “Bill With Parent Company” field to True and the Parent field to the proper Parent Company.

In the Customer’s Resource, only the most commonly used fields are visible by default. You will see several hidden columns, indicated by a “+” button at the top of the sheet. By unhiding those columns, you can access several less-common fields.

Reference Fields

The only reference field for Customers is the dropdown filter that shows all existing customers in Quickbooks.

If you ever wish to refresh these lists, there is a refresh button on your sidebar that will sync your options with the latest data in Quickbooks. This can be used in conjunction with other Amalgam templates to make edits in Quickbooks without ever leaving Excel or Google Sheets.
