What does Stale Object Error mean?

A Stale Object Error occurs when Quickbooks believes that multiple users might be attempting to edit the same record at the same time. So, for example, if you upload an Invoice using Amalgam, then another user edits it using the Quickbooks website, Quickbooks will not allow you to upload another change if it believes you’re working off an old version of the same Invoice.

This is a solution to a real problem where multiple users might be creating inconsistencies in data, but it can often be frustrating to deal with due to the way Quickbooks handles updates. In some occasions, simply clicking on a Bill, Invoice, or Journal Entry on the website may be enough to make Quickbooks think that there have been changes made.

For this reason, when editing old records, it may be a good idea to re-download information from Quickbooks to ensure the data in your sheets is the latest. For example, if you upload an Invoice, then a customer pays that invoice, Quickbooks will want you to have the latest version with the updated balance to ensure that you’re not overwriting any new information.
